We are organizing for the Lithopolis Honeyfest.  The help we need follows after the Volunteer List.
  • Volunteers will wear and keep a Lithopolis Honeyfest t-shirt
  • Free water vouchers for all
  • Meal vouchers for volunteers who donate four or more hours
  • Shifts available, as well as partial and full-day assignments

HELP NEEDED

AM Set Up - 7:00 to 10:00 am

Set up tables, chairs, tents, assist exhibitors and sound engineer with unloading, run electrical cords, set out waste and recycle receptacles, set-up stages, set up location station signs, clip name of vendor signs to their tent, deliver hospitality bags to artisans.

PM Tear Down - 6:00 to 8:00 pm

Cleanup grounds, empty waste and recycle receptacles, clear tables, dismantle booths, fold/stack/move chairs, assist exhibitors and sound engineer with loading, dismantle stages, take down signage.


Cook-Off and Sale

Pre-sale and Opening
(must have vehicle and can work a digital camera)


1.  Oversee contestant registration, Q&A, judging
2.  Before judging, move goods to tasting area; after judging move to sales booth
3.  Take photos of: (a) group photo of judges prior to tasting (b) group photo of all food entries prior to tasting,
                             
(c) judges during the tasting, and (d) winning food entries individually with ribbon
                             
(e) only if possible, individual contestants and their entry
4.  Slice, divide, plate, and cover food entries into individual servings (i.e., cake slice, couple of cookies)
5.  Price items and arrange on sales tables for visibility and accessibility.

          During Cook-Off Sale and Closing

          1.  Handling money for sale
          2.  Hand out Cook-Off Entry information for 2010
          3.  Keep tables and booth tidy
          4.  When sold out, set up sold out sign, wipe tables, tidy up booth, and turn in money to the festival official at the                    Welcome Center

Shuttle Service Concierge
(must have cell phone)

Passenger in Park & Ride Shuttle.  Will wear high visibility safety vest and be equipped with walkie talkie. Greet visitors, general Q&A, assist with directions, hand out programs and maps.  Move lightweight street barricade so that shuttle can maneuver, if needed. Check in with parking lot monitors to make sure things are going well.  Report any problems or suspicious activity you or the monitors notice to Honeyfest officials. In an emergency, first call 9-11 from cell phone and then immediately report matter to officials using walkie talkie

Two monitors will be stationed in each parking area that is serviced by the shuttle.  Will wear high visibility safety vest provided by Honeyfest.  Duties are to observe and monitor activity, handle Q&A and report problems or suspicious activity to the appropriate Honeyfest official.  In an emergency, first call 9-11 from cell phone and then immediately call appropriate Honeyfest official to report the matter.

Wagnalls Concierge

Stationed in The Wagnalls Library at the Patron Services Desk to assist Honeyfest visitors with general Q&A, directional matters or anything else regarding the Honeyfest. This will allow less interruptions of the Library employees at work.  Any visitor with questions about the Library should be directed to a Library employee.

Welcome Center and Registration Booth

Greet visitors, oversee registration, general Q&A, assist with directions, hand out programs and maps. Conduct souvenir sales (shirts and cookbooks).

Information Booth

Greet visitors, general Q&A, assist with directions, hand out programs and maps.

Head Count

Oversee a simple system of calculating head count of visitors.  The system is being finalized.

Booth Relief

Provide 15 to 20 minute coverage for artisans, concessionaires, or beekeepers who may need a break for restroom, food or drink.  No sales, no handling of cash, merchandise or products.

Runners

Committee members need one or two volunteers close by to dispatch on calls for help, errands, etc., as matters dictate.

Groundskeepers

Monitor litter and refuse, empty waste and recycle receptacles.  Keep tables and seating clear of debris such as paper, cups, water bottles, napkins, plastic ware plates, etc).  Wipe down with wet wipes if needed. Keep pathways clear of debris, tidy up grounds as needed, monitor restrooms for problems (no cleaning or re-supplying).  Report problems to Volunteer Coordinator through the Welcome Center. 

Photographer / Videographer

          Take digital pictures or video of the Honeyfest to be turned into Ginger Brenning for use on website,
          promotions, etc.  
The pictures become the property of the Lithopolis Honeyfest.
